We are seeking a dynamic, technically strong and trustworthy Operations & IT Manager to coordinate our day-to-day operations, IT administration, HR and training activities on a contract basis.
Key Responsibilities
Operations & Administration
- Oversee daily company operations, administration and office coordination.
- Coordinate projects and client deliverables with technical and sales teams, tracking timelines and commitments.
- Handle HR functions: recruitment coordination, contracts, staff records, leave tracking and HR correspondence.
- Plan and coordinate training programmes and events, including logistics, venues, trainers, participants and certificates.
- Maintain professional relationships with local and international clients and partners.
- Support finance and administration, including invoicing follow-up, payment coordination and vendor management.
- Prepare clear weekly and monthly reports and presentations for management.
IT Operations
- Manage web hosting accounts, domains, DNS records and SSL certificates for the company and its clients.
- Deploy and update websites and applications via FTP/SFTP and control panels (cPanel, Plesk or similar).
- Access and administer Linux servers via SSH: routine maintenance, updates, backups, user accounts and troubleshooting.
- Manage company email accounts and user access.
- Monitor website and server uptime, and coordinate with technical staff and hosting providers on incidents.
- Maintain an up-to-date register of company systems, servers, accounts and access rights, together with documented procedures, to ensure business continuity.
- Manage company communication channels and social media in coordination with management.
Requirements
Education & Experience
- Bachelor's degree in IT, Computer Science, Business Administration, Operations Management or a related field.
- 2–4 years' experience in operations, IT administration or project coordination, preferably in an IT, consulting or training company.
Technical Skills (essential)
- Hands-on experience with web hosting: domains, DNS, SSL, cPanel or similar control panels.
- Proficiency with FTP/SFTP for deploying and managing website files.
- Confident use of SSH to access and manage remote servers.
- Solid working knowledge of Linux command-line operations: file management, permissions, services, logs, package updates and basic troubleshooting.
- Familiarity with email administration (Google Workspace / Microsoft 365) and basic networking.
- Experience with Docker, MySQL or WordPress is an added advantage.
- Advanced proficiency in Microsoft Excel and PowerPoint.
- Practical experience using AI tools (e.g. ChatGPT, Claude, Copilot) for productivity, reporting and technical work.
Personal Attributes
- Excellent command of English, written and spoken. Fluent spoken English is mandatory and will be assessed during interviews.
- Good working knowledge of Swahili.
- Strong interpersonal and communication skills, with the confidence to engage senior clients and partners.
- Strong organisational skills, attention to detail and the ability to manage multiple tasks.
- High integrity, discretion with confidential information and system credentials, and a strong sense of accountability.
- Ability to work independently, remotely and under pressure, with minimal supervision.
Engagement Terms
- This is a contract-based consultancy engagement, not permanent employment.
- The role requires flexibility, including extended hours and weekend work when needed to meet deliverables. The consultancy fee covers all working time, and no separate overtime is payable.
- The role is a hybrid of remote work and office or client-site presence.
- The incumbent must be able to travel regularly upcountry for client engagements, training and events.
