Key Responsibilities
Human Resources Management
- Coordinate daily human resources operations across the organization.
- Ensure consistent application of company policies, employment requirements and established procedures.
- Maintain accurate employee records, personnel files and HR databases.
- Prepare regular HR reports, statistics and management information.
- Advise management and employees on HR-related matters.
- Support the development and implementation of HR strategies, procedures and guidelines.
- Identify HR risks and recommend practical solutions.
Recruitment and Onboarding
- Manage the recruitment process from manpower request through candidate onboarding.
- Develop job descriptions, job specifications and candidate profiles.
- Advertise vacancies through suitable recruitment channels.
- Screen applications and conduct preliminary candidate assessments.
- Coordinate interviews, assessments, reference checks and selection.
- Prepare recruitment recommendations and employment documentation.
- Coordinate employee induction and onboarding.
- Maintain an active talent database for critical and frequently recruited positions.
Performance Management
- Coordinate the company’s performance-management system.
- Ensure employees have current job descriptions, measurable performance indicators and clear expectations.
- Support managers in setting measurable employee objectives.
- Coordinate probation reviews, appraisals and performance-review exercises.
- Identify performance gaps and support appropriate performance-improvement plans.
- Prepare performance reports and recommendations for management.
- Support the connection between performance, development, recognition and career progression.
Employee Relations and Disciplinary Management
- Handle employee-relations matters professionally and confidentially.
- Coordinate disciplinary processes in accordance with applicable requirements and company procedures.
- Prepare show-cause letters, notices, hearing documents, warning letters and related correspondence.
- Maintain complete records of disciplinary cases and outcomes.
- Participate in disciplinary hearings and provide HR guidance.
- Support grievance resolution, conflict management and employee engagement.
- Promote fairness, consistency, confidentiality and procedural discipline.
Training and Employee Development
- Conduct training-needs assessments with departmental managers.
- Develop and maintain annual training and development plans.
- Coordinate internal and external training programmes.
- Maintain accurate employee training records.
- Evaluate training effectiveness and recommend improvements.
- Support career development and succession planning.
- Identify critical organizational skills gaps.
Payroll and Compensation Administration
- Coordinate monthly payroll preparation and verification.
- Maintain accurate employee master data for payroll processing.
- Verify new hires, exits, salary changes, allowances, deductions, overtime and other payroll inputs.
- Coordinate payroll information with Finance, Accounts or external payroll providers.
- Reconcile payroll inputs against HR records.
- Protect the confidentiality and security of payroll information.
- Support compensation and benefits reporting.
- Monitor statutory and company-required deductions in coordination with Finance.
Attendance and Leave Management
- Administer electronic attendance and employee clocking systems.
- Monitor attendance reports and resolve system-related issues.
- Conduct physical attendance verification where required.
- Monitor lateness, absenteeism, early departures and unexplained absences.
- Prepare accurate attendance reports for management and payroll.
- Maintain an updated annual leave roster.
- Administer annual, sick, maternity, paternity and other applicable leave categories.
- Monitor outstanding and accumulated leave balances.
- Coordinate leave planning to support adequate staffing and business continuity.
HR Documentation and Compliance
- Prepare and maintain professional HR documents, including:
- Job descriptions and specifications
- Employment contracts
- HR policies and procedures
- Employee handbooks
- Performance and KPI templates
- Recruitment and interview forms
- Probation and appraisal forms
- Disciplinary documentation
- Leave and attendance guidelines
- Staff-welfare guidelines
- HR reports and management dashboards
- Monitor employment-contract and probation expiry dates.
- Maintain complete, secure and confidential personnel files.
- Ensure HR records are available for authorized audits and management reviews.
- Protect employee information and maintain strict confidentiality.
Employee Welfare and Engagement
- Coordinate employee-welfare and engagement initiatives.
- Monitor employee concerns and escalate significant issues.
- Coordinate staff meetings, welfare programmes and employee communication activities.
- Promote a respectful, positive and productive workplace culture.
- Support management in addressing employee morale and retention challenges.
- Monitor employee turnover and identify possible causes.
Safety, Security and Office Administration
- Support employee compliance with safety, health and environmental requirements.
- Coordinate employee safety awareness and training.
- Maintain relevant employee safety records.
- Support incident and accident documentation where applicable.
- Liaise with security providers on employee-related security matters.
- Support workplace access controls and employee identification processes.
- Coordinate selected office-administration activities.
- Monitor office cleanliness, hygiene, workspace use and workplace conditions.
- Coordinate service providers responsible for basic workplace requirements.
Qualifications and Experience
Candidates should have:
- A bachelor’s degree in Human Resources Management, Human Resource Management and Administration, Human Resources Planning, Industrial Relations, Business Administration with an HR specialization, or a closely related field.
- At least five years of progressive HR experience.
- Practical experience managing general HR functions across the employee lifecycle.
- Strong knowledge of recruitment, performance management, employee relations, disciplinary processes, payroll, attendance and leave administration.
- Experience preparing employment contracts, job descriptions, HR policies and procedural guidelines.
- Experience supporting sales, distribution, warehouse, technical, field and office-based employees.
- Working knowledge of employment and workplace requirements applicable in Tanzania.
- Good knowledge of Microsoft Excel, Word and PowerPoint.
- Experience using HR information systems, payroll applications or biometric attendance systems is preferred.
- Professional HR certification or membership will be an added advantage.
